Frequently Asked Questions

We are a small company and wondering why we should put up a video screen at our reception desk ?

A business company, whether small or large, always should communicate with its customers. When a client is being put on-hold on the phone, you communicate and tell your customers whom your company is and what it has to offer

While waiting in the reception area, a visitor will have his attention drawn be to the moving pictures (slide show or video) which will visualize what you have to offer.

As the VGP70 is offered at the price of a conventional Music on-hold system (without video capabilities) it can be used as a Music on-hold player from the first day, and the visual capabilities of the product can be used any time later on, when you are ready for it.

What should I show my visitors ?

Building your company’s image is the most important target. This is relatively simple:

Show your company Logo, your major products and services. Inform your clients why they should do business with you (years of experience, level of quality, pricing etc.)

How long should the presentation last ?

A visitor which has an appointment should be met within 5 to 10 minutes. The presentation should not exceed 10 minutes.

We have no video available to us, how can we create a slide show?

A slide show is quite simple and inexpensive to make. All you need is a digital photo camera or existing JPEG photos. A 5 Mega pixel camera will do a good job. But a JPEG can also be created with a drawing program on a computer (Adobe Illustrator, Coreldraw, a.o.). Text and/or graphics can be added onto existing photos or saved as a JPEG document. So you can inform your clients without having to use expensive services from an artist. Saving JPEG’s between 72 dpi and 300 dpi will produce no visual difference. Each JPEG should be given a number so the VGP70 will read the JPEGs in an alphanumeric order. The music will only be heard on the MOH with a telephone while your slide show is seen on a TV/Video screen in your premises; The VGP70 will run visual and audible files simultaneously.

How many Digital photos (JPEG) can I store on a 256Mb Flash card and run a music slide show with the VGP70 or VGP100 ?

If the 256Mb Flash card would be carrying pictures only, this is what thecard can store :

  • With a 3 Mega pixel camera: 213 pictures
    (~= 1.20 Mb per picture)
  • With a 5 Mega Pixel camera:102 pictures
    (~= 2.51 Mb per picture)
  • With a 8 Mega Pixel camera: 73 pictures
    (~= 3.51 Mb per picture)
  • The above number of pictures can be doubled for a 512Mb card, and again each time the card size is doubled.

1 minute of mp3 music (@96 Kbits/sec) will need approximately 0.7Mb

Consequently 10 minutes of mp3 MOH on the 256Mb FC card will take 7Mb of space.

If you choose an interval time of 5 seconds between each picture, 120 pictures will be needed to fill the 10 minutes, using all different pictures. To simplify the matter, when using the capacity of the 256Mb FC to its best and adding 10 minutes of music, a total of 50 pictures are more than sufficient, to complete a Music slide show.

The reality is that even with 25 pictures, most presentations will be long enough, as people’s attention to focus on the display will generally not exceed 2 to 3 minutes

We are running a (number of) retail store(s). How can we organise the updates of the content as simply as possible?

Without a qualified IT Manager : Have the updates made in your head office where a member of staff can duplicate the required number of flash memory cards and have them sent by courier or mail envelope to each location. Each shop should have an appointed person whom will swap the flash memory cards and return the older cards back to the head office.

With a qualified IT staff in each shop : Create an FTP site in your main office. The new content should be installed on the FTP computer so it can be downloaded from each shop. Copy the new files (drag & drop method) onto the flash card and swap the new card for the old one and insert it in the appropriate slot of the VGP70.

We have access to a promotional video file but how can we play the video and music on-hold when the video does not carry that information?

The original video will have to be edited and the audio track(s) will have to be replaced with music on-hold files so that the video file is played on the screen and the audio on the PBX.

Is it possible to play an existing MS PowerPoint or a Macro Media Flash file on the VGP70 or VGP100?

Both need their original programs in order to be played. However, special conversion programs can be found on the Internet which will enable to convert such files into an appropriate MPEG format which can than be read by a VGP70/100 player.
